CASE MANAGER
We’re looking for our next Compensation Case Manager, someone with a service-oriented frame of mind even before they’ve had their coffee. We are looking for an individual whose smile and helpfulness can be heard over the phone and who enjoys learning something new every day. The ideal candidate must also be able to manage the routine work required to keep Ohio workers’ compensation cases moving forward and be motivated to deliver high-quality work that promotes our firm’s reputation. The person we hire will know what it means to work as a team. Our firm represents many injured Ohioans in their workers’ compensation claims, and this requires a team approach. This team member will gather and document detailed, case-specific information about potential cases from our clients. This includes initial screening, explaining the firm’s services, addressing the client’s initial inquiries and needs, collecting data, conducting the intake consultation, and preparing fee agreements and other initial documentation. The person we hire will value clients, handle their cases with respect, accuracy, and confidentiality, and understand the importance of these factors to our firm’s success.
Responsibilities
• Client Communication Intake: Communicate politely and professionally with clients, potential clients, and other parties via phone and correspondence; conduct client intake; send follow-up letters and emails to prospective clients.
• Legal Document Drafting Filing: Prepare and draft motions, affidavits, applications for compensation, and required filings with the Bureau of Workers' Compensation and the Industrial Commission under attorney supervision.
• File Document Management: Organize, index, collect, proofread, and file documents received from clients and third parties while maintaining accurate, duplication-free claim files.
• Hearing Preparation: Assist the attorney in preparing for hearings by gathering and organizing documents, digesting key issues and facts, and coordinating with medical providers and clients regarding records and reports.
• Deadline Database Tracking: Monitor all discovery and information-gathering deadlines and maintain up-to-date records in the client database.
• Settlement Administrative Support: Work with the Settlement Coordinator to obtain cost printouts and verify Medicaid/Medicare liens; perform general administrative duties, including filing, scanning, photocopying, and handling continuance requests.
Qualifications
The person we hire will know what it means to show prompt, consistent, punctual attendance, meet deadlines, work independently, and restore our faith in good old-fashioned work ethic.
• Comfortable working on a computer (preferably a Mac), using the Internet, and must be familiar with Microsoft Word
• A Bachelor’s or Associate’s Degree is preferred but not required
• Experience working with the Solaris Portal to get Medicaid-paid claims information from Ohio’s Tort Recovery Unit is a plus, but we can teach you
• 3 years experience in a claimant’s workers’ compensation setting or at a Third Party Administrator is required, as is knowledge of BWC/MCO forms and procedures
• Having an open mind and willingness to learn “our way” is crucial for this role

We are seeking an experienced Workers’ Compensation Claims Assistant to join our team. This is a key role in our office, and we need someone who can hit the ground running with hands-on knowledge of Ohio workers’ compensation claims.
What You’ll Do
• Communicate directly with clients to provide updates on their claims, answer questions, gather information, and ensure they feel supported throughout the process.
• Manage and follow up on active workers’ compensation claims, including tracking deadlines, filing status, hearing dates, and claim milestones.
• Contact healthcare providers to request, follow up on, and track medical records, narrative reports, and other documentation essential to claim development.
• Communicate with the Ohio Bureau of Workers’ Compensation (BWC), self-insured employers, managed care organizations (MCOs), and third-party administrators to obtain claim information, file documents, and resolve issues.
• Prepare and organize claim files, correspondence, and documentation for attorney review.
• Assist with scheduling medical examinations, independent medical evaluations (IMEs), and Industrial Commission hearings.
• Maintain accurate and detailed records in the firm’s case management system.
• Support the attorney with research, document preparation, and other tasks as needed.
What We’re Looking For
Required:
• Minimum of 3 years of experience working with Ohio workers’ compensation claims (plaintiff’s or defense side, BWC, MCO, TPA, or self-insured employer experience considered).
• Strong working knowledge of BWC procedures, the Industrial Commission process, and Ohio workers’ compensation terminology and workflow.
• Excellent communication skills—you must be comfortable speaking with clients, medical providers, and government agencies by phone and in writing.
• Strong organizational skills with the ability to manage multiple claims and deadlines simultaneously.
• Proficiency with office technology, including case management software, Microsoft Office, and email systems.
• A professional, compassionate demeanor—our clients are injured workers who deserve patience, empathy, and respect.
Preferred:
• Experience in a plaintiff’s workers’ compensation law firm.
• Familiarity with Ohio BWC’s online systems and filing procedures.
• Paralegal certificate or associate degree (not required but valued).
• Experience with legal case management software.
